Create a Xero Invoice from Ninjodo

Once you have created a Deal for your sale, you can then create (and send) an invoice straight to the customer from Ninjodo.

To create an invoice in Xero through Ninjodo:

 

STEP 1 

From the Deals page, under the "Money" tab- click on "Create Xero Invoice"

 

 

Note: You may be redirected to authorise with Xero, this is normal to update your account with new security access.

 

STEP 2

Once the "Create Xero Invoice" window is open, you can adjust the settings for the invoice:

 

 

OPTIONS YOU CAN CHANGE:

 

  • CONTACT WHO WILL RECEIVE INVOICE

When creating an invoice, Ninjodo will try to find known customers already in your Xero account. If they are there, they will be loaded into the Contact dropdown. If you want to pick a different person, you can do this. If the customer is in Xero, but isn't automatically found, you can choose the "Search Xero Contacts" option which will allow you to search for them. 
If the contact is a new lead/customer, and not in Xero, you can choose "Add [Contact name] to Xero" here, any already known data such as Name, Company, Email, Phone, Address, etc will be added to Xero. 

"Add New Contact to Xero" expects you are adding a billing contact into Xero at the time of invoicing.

PRO TIP 

Use "Edit Billing Contacts" at any time to edit contact details. 

  • It will be opened automatically if any required fields are missing.
  • It will remain closed if details pass all minimum check.


Note: The contact must be created or selected before you can complete the invoice creating process. 

  • REVENUE ITEM

The revenue items field is grabbing the revenue item(s) from the deal to replace them with the details from the invoice. When creating a Xero invoice, the amount, description and due date will be updated from the Invoice. (For example, "Estimated Invoice" will be replaced, so just pick it).

Now move down and click on the "Search Icon". Here is where you will be looking up the ITEM CODES to grab descriptions, prices etc. Click in the ITEM CODE box, and start typing the item, it will return the matching options to pick from. Once selected, the row will populate with everything. Repeat the process adding lines to build out your invoice.

  • XERO ACCOUNT FOR THE SALE
  • TAX RATE
  • INVOICE TEMPLATE (BRANDING THEME)
  • DUE DATE

 

PRO TIPS

  • You can change description/data of all dotted underline fields by clicking on it.
  • You can add a new item while creating the invoice by clicking on "Add new invoice item".
  • You can also move between the field by pressing Tab if you prefer keyboard shortcuts (i.e Once you have finished typing your Description, press tab to move to the Quantity field and so on).

 

 

STEP 3

 Once you are happy with all you invoice fields, click on "Create Invoice".

 

 

PRO TIP

Once your invoice is created, you will be prompted to choose whether to send the invoice to the client or not.
