How to Add Automation to a Sales or Workflow

When dealing with leads and customers you may want some things to happen automatically, such as sending first contact emails or reminders to follow up with a client after their purchase. With Ninjodo, you can now set emails to be sent out, task to be created and contact tagging/ labelling to occur automatically when someone is moved to a new step in your sales or workflow.

STEP BY STEP

STEP 1

Go to your "Admin Panel" from the top left corner of the screen (https://go.ninjodo.com/settings#!)

 

 

STEP 2 

Click on "Workflows" on the left side menu.

 

 

STEP 3

From the drop down list, choose the flow you wish to automate. 

 

 

STEP 4

Find the step in that flow you wish to automate and click the "Settings Icon" on the right

 

 

STEP 5

5.1 On the "Settings" tab, choose when you would like the next step to begin. You can choose for it to start manually or automatically (eg. 0 min, 2 days later, etc.)

 

 

PRO TIP

If a step is set to change automatically the record status will be changed once everything for that step is done
and the time is reached. If it's the last step and it has a time setting to change, it will remove the record from the workflow as everything is complete.

Any step can be set to manual or automatic. For example, you may want a couple of things when Onboarding a client to just run automatically, but once it gets time to have meetings or do specific things on a project you want to update things manually through a more in-depth process you have.
 

5.2 If you wish to add Email(s) to be automatically sent when this step is reached, click on the "Emails" tab and choose to "Add New Email". The editor window will open up for you to type out your email, choose an existing template and set the rules to how/when the email should be sent. 

 

 

PRO TIPS

> Emails in a workflow are always automatically sent, if you have emails as part of a workflow and DON'T want them sent automatically, or need to edit before sending, then set a task to "Send XYZ Email" for example, and use the Email Templates feature instead for this purpose. 

> If you have one or more Email to send off at a Step, it will wait until all relevant Emails have been sent to the person in question.

> Emails in a Deal workflow can be sent to the Primary Contact
 

5.3 If you wish for Task(s) to be automatically created when this step is reached, click on the "Tasks" tab and choose to "Add New Task". The editor window will open up for you to type out your email, choose an existing template and set the rules to how/when the email should be sent. 

 

 

5.4 You can also choose to Add or Remove Tags automatically when a step is reached, click on the "Tags" tab and choose to "Edit" under "Add These Tags" or "Remove These Tags" correspondingly. A text box will appear, where you can start typing your desired tag for the list of available tags to appear. Click "Save" once tag(s) are selected. 

 

 

STEP 6

Hit "Save Workflow" when done.

STEP 7

Repeat Step 4 to 6 for every step in the flow that you wish to automate.
